1. Definitions
Satori Martial Arts Academy Ltd (“we”, “us”, “our”) provides martial arts classes, events and related services.
“Member”, “participant”, “you” or “your” refers to any person attending classes, including parents/guardians acting on behalf of a child.

2. Application of Terms
These Terms & Conditions apply to all members, participants, trial attendees and visitors taking part in any class, session or event delivered by Satori Martial Arts Academy Ltd.

3. Participation & Risk Acknowledgement
Martial arts and physical activity involve an inherent risk of injury. By participating in any class or activity, you acknowledge and accept these risks.
While we take all reasonable steps to provide a safe training environment, participation is at your own risk.

4. Medical & Fitness Responsibility
You confirm that you (or your child) are medically fit to take part in physical activity and have not been advised otherwise by a medical professional.
You must disclose any injuries, medical conditions or relevant health concerns prior to participation.
We accept no responsibility for issues arising from undisclosed medical conditions.

5. Membership & Payments
Membership fees must be paid using the agreed payment method.
It is the responsibility of the member (or parent/guardian) to ensure payments are made on time.
Failure to make payment may result in suspension or removal from classes.
We reserve the right to amend pricing with reasonable notice.

6. Cancellations, Notice & Refunds
Membership cancellations must be made in accordance with your payment agreement.
Any required notice period must be followed.
No refunds will be given for missed classes, unused sessions or partial months.

7. Attendance & Participation
Members are expected to attend classes regularly and participate in a safe and controlled manner.
All instructions given by coaches must be followed at all times.

8. Conduct & Behaviour
Respectful behaviour towards coaches, staff and other members is required at all times.
Disruptive, unsafe or inappropriate behaviour may result in removal from a session or termination of membership without refund.

9. Safeguarding & Supervision
We are committed to safeguarding all participants and providing a safe training environment.
Parents/guardians are responsible for ensuring children are dropped off and collected on time.
We are not responsible for children outside of their scheduled class times.

10. Equipment, Clothing & Hygiene
Appropriate training clothing must be worn at all times.
All jewellery must be removed before training.
Make-up, fake tan, hair dye, face paints, ink or temporary tattoos should not be worn as they may damage mats and uniforms.
Good personal hygiene must be maintained for the safety of all participants.

11. Photography & Media
Photos and videos may be taken during classes and events where consent has been provided.
These may be used for website, social media and promotional purposes.
Consent may be withdrawn at any time by contacting us.

12. Personal Responsibility
Members are responsible for training within their own ability and following all safety instructions.
Participation should be stopped immediately if pain, injury or discomfort occurs.

13. Liability
Satori Martial Arts Academy Ltd, its coaches and staff will not be held responsible for any injury, loss or damage sustained during participation, except where caused by proven negligence.

14. Emergency Situations
In the event of an emergency, first aid may be administered and, if necessary, further medical treatment may be sought.
​
15. Changes to Classes & Services
We reserve the right to amend class times, instructors, venues, services or schedules where necessary.

16. Refusal or Termination of Membership
We reserve the right to refuse entry or terminate membership where behaviour, conduct, non-payment or safety concerns are deemed unacceptable.

17. Data Protection
Personal information is collected and processed in accordance with our Privacy Policy.
By participating, you agree to how your data is handled as outlined in that policy.

18. Entire Agreement
These Terms & Conditions form the agreement between you and Satori Martial Arts Academy Ltd in relation to participation in our services.

19. Acceptance
By attending classes, completing registration or participating in any activity, you confirm that you have read, understood and agree to these Terms & Conditions.

Parent / Guardian Conduct

Support a positive environment: Encourage effort over outcomes.

Sideline behaviour: Let coaches coach; no coaching from the viewing area or matside.

Punctuality: Arrive and pick up on time; tell us if you’ll be late.

Communication: Disclose relevant medical/ALN/SEN info; update contact details.

Concerns & complaints: Raise privately with a coach or by email to hello@satorimartialarts.co.uk.

Photography/filming: Follow club guidance and consent rules.

External events: We recommend personal insurance for competitions/seminars not run by Satori.
Safeguarding & Welfare

We follow UK safeguarding best practice.

Children’s Disciplinary Process
Our approach is calm, consistent, and educational. The aim is to help the child learn and re-engage, not to punish. Reasonable adjustments will be made where appropriate (e.g., for ALN/SEN needs).

First Warning (Verbal) – Clear, calm reminder about behaviour and the expected conduct.

Second Warning (Verbal + Clear Consequence) – Reminder repeated, with explanation that the next step will be sitting out if behaviour continues.

Short Time-Out With Coaching – Child sits away from the group for a few minutes. Coach explains why, then re-engages:

Checks understanding: “Do you understand why you’re here?”

Agrees a condition for re-entry (specific behaviour change).

Reintegration with positive framing.

If behaviour continues – Coach repeats Step 3 (short time-out, explanation, agreement, reintegration). Process is repeated until understanding and improvement are shown.

Escalation – If behaviour is unsafe or disruptive, child may be removed from the activity for the rest of the session. Parents are informed and future support strategies discussed.
Coaches will report incidents to parents where behaviour patterns persist.
