Terms & Conditions – Trial Class Bookings

 

By booking a trial class with Satori Martial Arts Ltd, you agree to the following terms and conditions:

 

 

1. Trial Class

 

  • All new students are entitled to book an initial trial class through our website.

  • Trial classes are non-refundable and non-transferable.

 

 

2. Membership Commitment

 

  • Following the completion of a trial class, should you decide to continue training, you will enter into a minimum 3-month membership contract with Satori Martial Arts Ltd.

  • After the initial 3-month period, your membership will continue on a rolling basis, subject to 30 days’ written notice to cancel.

 

 

3. Notice Period

 

  • A minimum of 30 days’ notice must be provided in writing to terminate your membership.

  • Notice must be sent to hello@satorimartialarts.co.uk.

  • Membership fees will remain payable throughout the notice period.

 

 

4. Payments & Licence Fee

 

  • Membership fees are payable in advance via direct debit or another agreed payment method.

  • An annual licence fee is payable upon joining and each year thereafter. This covers student insurance, club affiliation, and registration.

  • Membership and licence fees are non-refundable.

 

 

5. Communications

 

  • By booking a trial class, you consent to be contacted by Satori Martial Arts Ltd via email, phone, or SMS regarding your membership, club updates, offers, and news.

  • You may opt out of marketing communications at any time by contacting us at hello@satorimartialarts.co.uk.

 

 

6. Injury, Health & Safety

 

  • Martial arts training is a physical activity and carries an inherent risk of injury. By attending classes, you accept this risk.

  • Satori Martial Arts Ltd, its coaches, and staff will not be held liable for injuries sustained during training, except where caused by negligence.

  • All members and trial participants must follow the instructions of coaches and staff at all times.

  • It is the responsibility of the student (or parent/guardian if under 18) to disclose any relevant medical conditions before participating in training.

  • Appropriate protective equipment must be worn where required.

 

 

7. Insurance & External Events

 

  • Satori Martial Arts Ltd provides insurance that covers members while participating in official club activities on our premises or at events organised directly by the club.

  • We cannot guarantee cover for external competitions, seminars, or events not run by Satori Martial Arts Ltd.

  • For this reason, we strongly recommend that members obtain their own personal insurance to ensure they are fully covered when attending external events.

 

 

8. Premises Rules

 

  • Smoking, vaping, or the use of e-cigarettes is strictly prohibited anywhere on the premises, including entrances and car parks.

  • Members, parents, and visitors are expected to respect the premises and maintain a safe, family-friendly environment.

 

 

9. Car Park Disclaimer

 

  • Use of the car park is entirely at your own risk.

  • Satori Martial Arts Ltd accepts no responsibility for loss, theft, accidents, or damage to vehicles or personal belongings while on the premises.

 

 

10. CCTV & Security

 

  • CCTV cameras are in operation at our premises for the purposes of safety, security, and safeguarding.

  • Footage is recorded and may be reviewed if incidents arise that require investigation.

  • CCTV recordings are handled in line with UK GDPR and Data Protection regulations and will not be shared except where legally required.

 

 

11. Disciplinary Policy

 

  • All members are expected to adhere to the club’s code of conduct and rules.

  • Satori Martial Arts Ltd reserves the right to apply its disciplinary policy if members breach these rules, which may include warnings, suspensions, or termination of membership without refund.

 

 

12. General

 

  • Satori Martial Arts Ltd reserves the right to update these terms and conditions at any time. Any changes will be communicated to members in writing.

  • Booking a trial class constitutes acceptance of these terms and conditions.

Student Conduct

 

  • Respect everyone: Coaches, teammates, opponents, parents, volunteers and facilities.

  • Listen & follow instructions: For safety and smooth sessions.

  • Be kind: No bullying, name-calling, intimidation or exclusion.

  • Train safely: Use appropriate control, tap early, wear required protective kit.

  • Look after equipment & premises: Tidy up, no food/drink on mats, water only.

  • Hygiene & uniform: Clean Gi/kit, short nails, long hair tied back, remove jewellery/tape it.

  • Phones & devices: Not used on the mats; ask a coach if you need to contact a parent.

  • Social media: Be respectful; never post content that harms teammates, coaches or the club.

  • Car park & entrances: Walk, don’t run; be courteous to other users.

  • CCTV in use: For safety and safeguarding; footage may be reviewed if incidents arise.

 

 

Parent / Guardian Conduct

 

  • Support a positive environment: Encourage effort over outcomes.

  • Sideline behaviour: Let coaches coach; no coaching from the viewing area or matside.

  • Punctuality: Arrive and pick up on time; tell us if you’ll be late.

  • Communication: Disclose relevant medical/ALN/SEN info; update contact details.

  • Concerns & complaints: Raise privately with a coach or by email to hello@satorimartialarts.co.uk.

  • Photography/filming: Follow club guidance and consent rules.

  • External events: We recommend personal insurance for competitions/seminars not run by Satori.

 

 

Safeguarding & Welfare

 

  • We follow UK safeguarding best practice.

  • If you have a concern, speak to the coach in charge or email hello@satorimartialarts.co.uk.

  • In an emergency, call 999.

 

 

Children’s Disciplinary Process

 

Our approach is calm, consistent, and educational. The aim is to help the child learn and re-engage, not to punish. Reasonable adjustments will be made where appropriate (e.g., for ALN/SEN needs).

 

  1. First Warning (Verbal) – Clear, calm reminder about behaviour and the expected conduct.

  2. Second Warning (Verbal + Clear Consequence) – Reminder repeated, with explanation that the next step will be sitting out if behaviour continues.

  3. Short Time-Out With Coaching – Child sits away from the group for a few minutes. Coach explains why, then re-engages:

     

    • Checks understanding: “Do you understand why you’re here?”

    • Agrees a condition for re-entry (specific behaviour change).

    • Reintegration with positive framing.

  4. If behaviour continues – Coach repeats Step 3 (short time-out, explanation, agreement, reintegration). Process is repeated until understanding and improvement are shown.

  5. Escalation – If behaviour is unsafe or disruptive, child may be removed from the activity for the rest of the session. Parents are informed and future support strategies discussed.

 

Coaches will report incidents to parents where behaviour patterns persist.
